It’s official. You’ve outgrown your current space. The desks are crammed together like sardines, and there’s barely enough room to breathe, never mind move around. You’ve maxed out your credit cards and taken out every loan possible, but you still can’t seem to find a way to make the extra square footage fit your growing team and all of their equipment. So what do you do? You move.

Let the Idea Grow on You

Start by giving yourself some time to adjust to the idea. Just because you’re running out of room doesn’t mean you have to sign a lease tomorrow. Don’t make a rushed decision that you’ll end up regretting later on down the road.

Get Organized

Now that you’ve had time to come to terms with the idea, it’s time to start getting organized. Here are some tips to help make sure your move goes as smoothly as possible:

New Space Wishlist

Start by making a list of everything you need in your new space. For example, how many desks do you need? Do you need a conference room? How much storage space will you need? Once you have a good idea of what your needs are, you can start searching for spaces that fit those needs.

Consider All Costs

Make sure you factor in extra costs beyond just rent. Things like utilities, internet, and janitorial services can add up quickly. And don’t forget about things like furniture and office supplies! You might also want to consider the cost of moving itself. Hiring a professional moving company can be expensive, but it might be worth it to avoid damaging any vital equipment or injuring yourself.

Special Requirement

If your business has any special requirements, make sure to factor those in as well. For example, if you need a space that’s handicap accessible or if you need a certain amount of parking spaces. Or, if you are moving your call centre, you would need to install a Soundproofing System to ensure a private and confidential conversation between you and your client. All these factors will narrow down your search and help you find the perfect space for your business.

Logistics

Packing up your old space and getting everything moved into your new one is bound to be a stressful process. But with a little bit of planning, it doesn’t have to be too bad. Here are a few things to keep in mind:

Pack Early and Pack Smart

Start packing up non-essential items as early as possible. This will free up some much-needed space in your office and make the actual packing process less daunting when the time comes. Be sure to label all of the boxes, so you know where everything is going in your new space.

Pack Valuables with Care

Some items are more delicate than others and will require special care when packing. For example, computers, printers, and other electronics should be packed in their original boxes (if possible) or in bubble wrap to avoid being damaged.

Hire Help if Needed

If you have a lot of heavy furniture or fragile items, it might be worth it to hire professional movers. They will know how to properly pack and transport your things, so they arrive at your new office in one piece.

Don’t Forget Your Team

Now that you’ve got the logistics out of the way, it’s time to start thinking about your employees. Moving an office is a big change for everyone involved, and it’s essential to make sure the transition is as smooth as possible. Here are a few things to keep in mind:

Communicate with Your Employees Early and Often

Your employees should be the first to know about the move. Once you’ve made the decision to relocate, start communicating with them right away. Keep them updated on your progress and address any concerns they might have.

Prepare for Disruption

Moving an office is bound to cause some disruptions, both big and small. Things like noise, dust, and traffic can be disruptive to both your employees and your customers. Be sure to plan ahead so you can minimize the disruption as much as possible.

Provide Support During the Transition

Your employees might need some extra support during the transition. Things like flexible hours, additional break time, or even mental health days might be necessary to help them adjust. If possible, try to provide this support before the move so they can hit the ground running when you’re in your new space.

Moving an office is a big undertaking, but with a little bit of planning, it can be a seamless process. By following these tips, you can make sure your move goes off without a hitch!
